What matters most when choosing event registration software for conferences?

What matters most isn't how polished the registration form looks in the demo. It's whether the platform still works the day 500 attendees need to check in within 20 minutes, a corporate client demands an invoice with the correct VAT code, and three people swap workshops at the last minute.

Good event registration software for conferences covers the whole attendee journey – registration, payment, check-in, communication and reporting – in one system, not five.

Most comparisons of event registration platforms land on fairly similar lists: flexibility, ease of use, payments, GDPR, check-in, integrations, reporting, support and price.

That's not wrong.

The problem is that these lists rarely explain why the order looks the way it does, or how you actually test a vendor's claims before you sign. That's what we're trying to do here.

Short answer: 9 criteria, in priority order

  1. Flexibility in the registration flow – ticket types, sessions, add-ons and waitlists without manual patchwork
  2. Payments and invoicing – card, Nordic mobile payment methods, e-invoicing and correct VAT in one flow
  3. Check-in on conference day – QR codes and real-time data sharing the same database as registration
  4. GDPR and data security – data processing agreement, storage location, deletion and consent in place
  5. Integrations – CRM, accounting, email/SMS and company registries that talk to each other
  6. Reporting – answers to "who paid, who showed up, what was the revenue" without five spreadsheets
  7. Reliability and support – what happens when something breaks at 8:15am on conference day
  8. Total cost – not just price per ticket, but transaction fees, add-ons and the hours your own team puts in
  9. AI access to your data – can you ask an AI assistant directly about status, instead of digging through a dashboard

Price sits at the bottom on purpose. A cheap platform that requires hours of manual work before and during the conference rarely stays cheap in practice.

1. Flexibility in the registration flow

A conference is rarely "one ticket, one form." There's standard pricing, early bird, student and VIP rates. There are parallel sessions and workshops with limited capacity. There's a conference dinner, hotel stays and transport as add-ons. And there are waitlists when a popular session fills up.

Check whether the platform can handle:

  • Multiple ticket and attendee categories, each with its own price and VAT rate
  • Discount codes, invitation links and group registration from a single company
  • Session selection and capacity caps per workshop, without overbooking
  • Add-on products (dinner, hotel, transport) tied to the same order
  • Waitlists with automatic promotion when someone cancels

This is often where a simple ticketing platform runs out of road. If the vendor's answer is "we can build that as an add-on," it's worth asking what that costs and how long it takes.

The result of getting this right: you sell more tickets and handle fewer special cases over the phone.

2. Payments and invoicing – Nordic context isn't optional

For conferences run in the Nordics, this is less often a question of whether the platform supports local payment habits, and more a question of how much manual work is left over afterwards.

Look specifically for:

  • Card payments plus Nordic mobile payment methods – Vipps in Norway, Swish in Sweden, MobilePay in Denmark – as natural options for individual attendees
  • Electronic invoicing for corporate clients who don't pay by card. In Norway this typically means EHF invoicing over the Peppol network; in Sweden and Denmark, ask the vendor to confirm exactly which format and network standard they support, since requirements can differ depending on whether the recipient is public or private sector
  • Automatic company lookups – Brønnøysundregistrene in Norway, Bolagsverket in Sweden, the CVR register in Denmark – so organisation numbers and addresses are correct from the start
  • Correct VAT handling per ticket type, since conference tickets, food and any course components often carry different rates
  • Credit notes and partial refunds when someone cancels or changes ticket
  • Payouts – how often you actually get paid, and to which account

This point becomes more important than the registration form itself surprisingly fast. The result of getting it right: the finance team saves time at every conference instead of losing it.

3. Check-in on conference day

Registration can run flawlessly for six months – right up until 500 people need to get through the door at once at nine o'clock, the queue bends around the corner, and someone has deleted their confirmation email. At that point, three things matter:

  • QR or barcode scanning for speed, without attendees hunting for their email
  • Real-time updates to the attendee list, so every check-in station shows the same status
  • Walk-ins and changes – can you register someone who wasn't on the list, or swap a ticket at the door, without switching to a different system

That last point is worth stressing: check-in and registration should share the same attendee database. If registration and check-in are two separate systems that need manual syncing, that's exactly where things break when it matters most.

The result of getting this right: no queue out the door, and an administrator who doesn't have to say "let me check on that" twenty times in twenty minutes.

4. GDPR and data security

Conferences typically collect more than name and email – employer, dietary needs, session choices, billing details. For Nordic and EU organisers, this should be a requirement, not a nice-to-have.

Ask the vendor specifically about:

  • A data processing agreement (DPA) that covers your specific use
  • Where the data is stored, and whether that's within the EU/EEA
  • How consent is captured and documented
  • Procedures for deletion or anonymisation after the event
  • Which subprocessors have access to attendee data

Be skeptical of answers that simply say "we're GDPR-compliant" without being able to point to documentation. That's a claim, not proof.

5. Integrations

Ask: what happens to the data after someone registers? If the answer is "it sits in the system until someone exports it manually," that's just a nicer way of saying more work later.

Common integrations to check:

  • CRM – either a built-in CRM or a connection to an external system (HubSpot, for example)
  • Accounting – so transactions don't need to be entered twice
  • Email and SMS – for confirmations, reminders and targeted communication
  • Company registries (Brønnøysundregistrene, Bolagsverket, CVR, depending on market) – for automatic company lookups when invoicing
  • API/webhooks – relevant if you run a larger tech stack and need data out in real time

6. Reporting

You should be able to answer these questions without exporting five spreadsheets and stitching them together by hand:

  • How many are registered, and how many have paid?
  • Which sessions are full, and which have capacity left?
  • How many actually showed up (no-show rate)?
  • What was the revenue, broken down by ticket type?
  • Where did attendees come from?

Real-time data is especially valuable in the weeks before the conference, when decisions about staffing, catering and venue often need to be made fast.

The result: decisions made on today's numbers, not on a spreadsheet someone exported ten days ago.

7. Reliability and support

The registration form can look like "just a form" – right up until a popular speaker announcement drives 3,000 visitors in ten minutes, or your payment provider has an outage on the day the conference starts. Ask about:

  • What SLA and uptime guarantee the vendor offers
  • How support works on weekends and on conference day itself
  • How the system handles traffic spikes (an early-bird ticket launch, for example)
  • What happens to data and payments if something genuinely goes wrong

8. Total cost – not just price per ticket

Never compare vendors on "price per attendee" or monthly fee alone. Factor in:

  • Transaction fees on payments
  • The cost of add-ons like badge printing, an app, or extra integrations
  • Support and upgrade costs
  • The hours your own team spends on manual work the platform doesn't solve

A platform that looks cheap on paper, but requires someone on your team to spend two days on invoicing after every conference, is rarely the cheapest option in practice.

9. An emerging criterion: can AI talk directly to your data?

Most comparisons of event registration platforms don't mention this yet. They probably should soon.

Today, "reporting" usually means someone logging into a dashboard, filtering, and exporting to a spreadsheet. With the Model Context Protocol (MCP) – an open standard from Anthropic – AI assistants like Claude can connect directly to a platform's data and answer questions in real time, without exports or middlemen. Check whether your vendor has an MCP server (or equivalent AI integration) and ask specifically:

  • Can an administrator ask the AI about status, instead of clicking through a dashboard?
  • Is access limited to your own organisation's data, or is the isolation unclear?
  • Is personal data (allergies, contact details) masked by default, and are queries logged?

Checkin launched its own MCP server in June 2026 – among the first in the event industry. It offers nine tools split across search (find events, attendees, orders, contacts across history) and analysis (status reports, sales, check-in, finances, comparisons across 2–10 events).

In practice, that means a question like "How's check-in going at the Leadership Conference right now?" or "Show me all unpaid orders from the Annual Conference" gets answered directly, without a report export. Access is organisation-isolated, personal data is masked by default, and every call is logged – in line with GDPR's data minimisation principle.

The result: the answer arrives in seconds in a conversation with the AI, not after an email to IT asking for a report.

This is still a new criterion, and most vendors don't have an answer yet. Ask anyway: in a couple of years, "can our AI talk to our data?" will likely be as obvious a question as "do you have QR code check-in?" is today.

This is a starting point, not a formula – adjust it to your own context (attendee numbers, how many conferences you run per year, whether you invoice companies or only take card payments).

The 800-at-the-door test: how to reveal the difference between vendors

Most vendors look equally good in a demo. The differences show up when you ask them to solve concrete, unglamorous scenarios – not when you ask "what features do you have?" Ask each vendor to demonstrate these five situations, live:

  1. An attendee wants to swap workshops two days before the conference. How many clicks does it take, and who has to do the work – the attendee themselves, or an administrator?
  2. A corporate client books 40 seats on invoice, but 15 cancel. How is the partial credit note and corrected invoice handled?
  3. A VIP guest registers the same day the conference starts. Does she still get the right name badge and access to the right session?
  4. 500 people need to check in within 20 minutes. Does the scanning keep pace, and what happens if the network is slow right then?
  5. The finance team needs a document with the correct VAT code the same day the conference ends. How many manual steps does that take?

(Full disclosure: no vendor sails through all five smoothly on the first try. That's rather the point of the test – it shows where the shoe pinches before you've signed anything.)

If the vendor has to "check with the technical team and get back to you" on more than one of these, you've got the answer you needed.

It varies with how complex your registration flow is and how many integrations need to be in place. Ask the vendor for a concrete estimate for your specific conference, not a generic figure from their website.
